Here’s a little more about the role we’re hiring for:

As the Client Service Associate, we are counting on you to provide exceptional client service, drive efficient operations and manage the administrative responsibilities that support the firm, and work closely with the Advisory Teams to enhance the overall client experience.

You will enjoy this type of work if you get, want, and have the capacity to manage:

  • Client Relationships: Develop and maintain strong relationships with clients, understanding their needs and ensuring an excellent client experience. This includes managing incoming and outgoing client communications via phone, email, and in-person meetings, and responding to/resolving client issues and inquiries promptly and professionally.
  • Administrative Support Responsibilities: Provide administrative support to our Advisory Teams. This includes onboarding new clients by setting up new accounts and explaining firm processes, scheduling client meetings, preparing and organizing client documents, assisting with the preparation and filing of financial and tax documents, generating reports, and other administrative tasks as needed.
  • Data and Project Management: Ensure accurate and timely entry of client data into our CRM/project management system. This includes entering and maintaining accurate client records and files in compliance with firm policies and regulatory requirements, as well as coordinating with the Advisory Team to ensure all client deliverables are completed and delivered on time.
  • Team Collaboration: Function as a proactive member of the larger administrative team to support overall office operations and improve client experience. This includes contributing ideas and insights during team meetings, identifying and addressing process and efficiency issues, assisting with planning and executing office events, and providing backup support for other administrative team members.

On Day 1, you should already have:

  • A high school diploma or GED (required).
  • A minimum of 2 years of experience in a client service role and a demonstrated history of exceptional client service skills, with a focus on understanding client needs and maintaining strong client relationships.
  • Strong proficiency in Microsoft Office Suite and familiarity with CRM/project management software (Canopy preferred).
  • High comfort level working in a technology-forward environment and high adaptability to learning new technology/software/accounting systems.
  • Exceptional client service and interpersonal skills.
  • Effective communication and organizational skills, with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • An ability to manage multiple projects/priorities and remain calm under pressure without sacrificing speed or accuracy in a deadline-driven environment.

We train our team to help them succeed, but you will be ahead of the game if you also have:

  • Experience working in a CPA or Wealth Management firm.
  • Associate’s degree in accounting, finance, business administration, or related field.
  • Experience with bill pay processes and systems, bookkeeping software, and payroll systems.
